It's 10:15. Your 10:00 fill hasn't shown up, she isn't answering texts, and the slot is too late to give to anyone else.
Most no-shows aren't about bad clients. They come from three fixable gaps: she forgot, she had no easy way to move the appointment, or nothing about the booking made her feel committed. Close those gaps with a reminder she has to reply to, a deposit, a painless way to reschedule and a clear policy, and you'll see fewer empty chairs. Here's how to set each one up.
What a no-show really costs you
I've seen firsthand how a single no-show can throw off an entire day for a beauty professional. It costs more than the price of one service. When a client doesn't come, you lose:
The service itself, and any add-ons or retail she would have bought
The slot, which you probably turned someone else away from
Your prep, like hair you bought for a braid install, a custom color mix or a tray set up for a full set
Her next visit, because a client who skips a fill often drifts off your rebooking cycle
Here's a simple way to see it. Say your average lash fill is $55 and you get four no-shows a month. That's $220 a month, or $2,640 a year, before you count the clients who never rebook. Those numbers are just an example; swap in your own prices and your own count from last month.
Why clients no-show
When you look closely, no-shows usually fall into a few patterns:
She forgot. She booked her fill four weeks ago, and life happened since.
Rescheduling felt like a hassle. If changing the time means a call or an awkward DM, some clients just don't come.
There was nothing at stake. A free booking is easy to skip.
She wasn't sure of the details. Wrong day, wrong suite number, or she didn't know she needed to come with clean lashes or washed hair.
It's a pattern. A small number of clients cause a big share of no-shows.
Each fix below closes one of those gaps.
7 ways to reduce no-shows
1. Send reminders that ask for a reply
A reminder tells her when her appointment is. A confirmation asks her to answer. That small difference matters, because a client who replies "YES" has made a decision, and a client who replies "I can't make it" gives you time to fill the spot.
One pattern I've noticed is that clients often need more than one reminder before an appointment. Research in healthcare settings points the same way: it has found that text reminders raise attendance compared with no reminders, and that sending more than one reminder works better than a single message. Salons aren't clinics, but the habit behind a missed appointment, simply forgetting, is the same.
A simple sequence:
At booking: a confirmation with the date, time, address and any prep instructions
Two days before: a reminder that asks her to reply YES to confirm, or tap a link to reschedule
The morning of, or two hours before: a short heads-up with parking or entry details
Example text: "Hi Brianna! Your lash fill is Thursday at 10am. Reply YES to confirm, or use this link to move it: [link]. Please come with clean lashes, no mascara."
2. Take a deposit when she books
A deposit gives the appointment weight. It also protects you when a service needs supplies bought ahead, which is why so many braiders and wig specialists already require one.
How you word it matters. "A $25 deposit holds your spot and goes toward your service" lands very differently from "You'll be charged if you don't show." Frame it as reserving her time with you, not punishing her in advance.
Before you add deposits, check how your booking app collects them and what happens to the money when a client cancels or reschedules, so your policy and your settings match.
3. Make rescheduling easier than ghosting
If the only way to move an appointment is to call you mid-service or send a DM that sits unread, some clients will skip the whole thing. Put a reschedule link in every reminder. A client who moves her appointment is still your client. A client who ghosts often isn't.
4. Write a clear policy and repeat it
A cancellation and no-show policy only works if clients actually see it. Keep it short and specific:
How much notice you need to cancel or reschedule (for example, 24 or 48 hours)
What happens to the deposit if she cancels in time, cancels late or doesn't show
How late she can arrive before the service is shortened or rebooked
Then show it three times: on your booking page, in the confirmation text, and in person when you rebook her at the end of a visit. Nobody should be surprised by it.
5. Send the prep details up front
Some no-shows and late cancels are really confusion. She didn't know which building, thought she had to reschedule because her nails were chipped, or wasn't sure whether to bring her own hair. Put the address, entry instructions and prep notes in the booking confirmation so the day of the appointment is easy.
6. Keep a fill list for last-minute openings
Even with every fix in place, some clients will cancel. Keep a short list of clients who've told you they'd take an earlier slot. When a cancellation comes in, one text to that list can turn an empty hour back into a booked one.
7. Track who no-shows, and handle repeats differently
Keep a simple note on each client's profile when she no-shows or cancels late. If the same names keep showing up, you don't need a stricter policy for everyone. You need a different rule for those few clients, like requiring a full prepayment or only offering them same-week appointments.
Where a system takes this off your plate
You can do every one of these by hand. The catch is that reminders, confirmations and follow-ups pile up fast when you're doing them between clients.
This is where an automated booking system helps. It can send the confirmation the moment she books, follow up two days out, log her reply, offer her a reschedule link and nudge her when it's time to rebook. A lash artist booked back to back could have all of that running while she's mid-set, and step in only when a client needs her personally.
That's what The Booking Concierge does for Crowned Creative Systems clients, in your voice, with you seeing every conversation.

No-show questions beauty pros ask
What's a normal no-show rate for a salon?
There isn't one reliable industry benchmark, and published numbers vary widely. Your own rate is what matters: divide last month's no-shows by total appointments booked, then track it monthly so you can see whether your changes are working.
Should I charge a deposit or a no-show fee?
A deposit is collected when she books, so the commitment is there before the appointment. A no-show fee is charged after the fact, which can be harder to collect and feel more punishing. Many solo pros find a deposit that goes toward the service is easier on both sides.
How far ahead should I send appointment reminders?
A common setup is a confirmation at booking, a reply-to-confirm reminder about two days before, and a short note the morning of. Two days gives her time to reschedule and gives you time to refill the slot.
Will a deposit scare new clients away?
It can if it's worded as a penalty. Explaining that it holds her spot and goes toward her service makes it feel like a normal part of booking with a professional.
What do I do when a regular no-shows?
Reach out kindly first; something may have come up. If it becomes a pattern, ask her to prepay or pay a deposit for future bookings, and apply your policy the same way you would for anyone else.
